Choosing the Right Wedding Planner: Why It Matters for Your Wedding Day Experience

At Stories by LEO, we’ve had the privilege of working at hundreds of weddings across Toronto, the GTA, and throughout Ontario. We’ve seen firsthand how much of a difference a good wedding planner can make—not just for the couple, but for every single wedding vendor, including your wedding videographer, photographer, caterer, DJ, and more.
While we’ve been lucky to work with some of the best wedding planners in Toronto, we’ve also faced situations where poor wedding day coordination affected the experience for everyone—including us as the wedding videography team.

Often, we see event planners getting stressed about the same day edit (SDE) video being ready and playing smoothly during the reception. And we totally get it—it’s a big moment and part of their job is making sure everything runs without a hitch. But what many don’t realize is that an SDE includes moments right up to the couple’s grand entrance, which means our videography team is literally filming, editing, rendering, and delivering in real time. There's no way to do a full run-through or test play before handing it off because the final shots are captured just minutes before the video hits the screen. It’s a high-pressure task that takes teamwork, speed, and trust between vendors.
A Day That Should Have Been Smooth... But Wasn't
Without going into specific names (this post is not about calling anyone out), we found ourselves at a wedding where communication with the planner was poor from the start.
Our team didn’t get vendor meals until extremely late (if at all), and when we asked for a vendor table to sit and take a short break, we were provided a table—but no chairs. This might sound like a small thing, but after 10+ hours on our feet filming every important moment, a small break matters.
We understand that the day is all about the couple, and we’re always there to give 100%. But it’s also important for vendors to have the basic things they need—like a small place to sit and eat. After all, when vendors are taken care of, they can take even better care of the couple and their memories.
These situations don’t just affect us—they can impact the quality of your wedding video and wedding photos. Tired vendors with low energy can miss important moments or lack the creative spark needed to make your wedding film truly cinematic.

Why It Matters for Your Wedding Film
You’re investing in a professional wedding videographer to capture moments like your first look, vows, first dance, and speeches. For us to do our best work as a Toronto wedding videography team, we need to stay energized, focused, and coordinated with the flow of your day.
When wedding planners neglect basic vendor needs like vendor meal breaks, communication, and clear timelines, it can lead to unnecessary stress for everyone involved.
